The Complete Health Record for Every Horse in Your Barn
When the vet asks "When was this horse last vaccinated?" or a new owner wants to see their horse's health history, you need the answer right away — not buried in a filing cabinet or scattered across old invoices.
The Health Program in EquineOps is where you track the big-picture health events that keep your horses healthy and compliant: vaccinations, deworming, dental care, and veterinary visits. It's the permanent medical record for every horse in your barn.
Health Program vs. Treatment Program — What's the Difference?
These two programs work hand in hand, but they cover different things.
The Treatment Program is for active, ongoing care — daily medications, wound management, rehab exercises, things that need to get done today and checked off. It's a task list.
The Health Program is your long-term medical record. It answers questions like: When was this horse's last Coggins? What dewormer did we use in the fall rotation? When is the next dental float due? Who administered the spring vaccines? It's the history that follows a horse for its entire life at your barn.
Four Record Types, One Place
The Health Program tracks four categories of care, each with its own section:
Vaccinations — Record every vaccine administered, which products were used, who gave them, and when the next round is due. Spring shots, fall boosters, required show vaccines — it's all here.
Deworming — Log each deworming with the product used (Ivermectin, Fenbendazole, Pyrantel Pamoate, or whatever your rotation calls for), the date, and when the next dose is scheduled. No more trying to remember which horses got what and when.
Dental — Track routine floats, wolf teeth extractions, dental exams, and any other dental work. Set the next due date so you know when each horse is coming up.
Veterinary — Everything else: wellness exams, lameness evaluations, Coggins tests, pre-purchase exams, emergency calls, ultrasounds. If a vet was involved, it goes here.
See Every Horse at a Glance
The Health Program opens with a matrix view — every horse listed down the side, with columns for each record type showing the most recent date and next due date. You can instantly spot which horses are overdue for vaccines, who hasn't been dewormed recently, or which horses need a dental exam soon.
Overdue and due-soon records are flagged so they stand out. When the vet is scheduled to come out next week, you can quickly pull up which horses need what and be ready.
Batch Record Entry — Because the Vet Doesn't Do One Horse at a Time
When the vet comes out and vaccinates 15 horses in a morning, you don't want to enter each one individually. Select the horses, pick the record type, choose the products, set the date and next due — and EquineOps creates a record for every selected horse in one shot.
You can even attach an expense to the batch. EquineOps will create a separate expense for each horse so your cost tracking stays accurate for client billing.
Your Product Catalog, Your Way
Every barn uses different products. EquineOps comes preloaded with common ones — Tetanus, West Nile, Flu/Rhino for vaccines; Ivermectin, Fenbendazole for dewormers; Routine Float and Dental Exam for dental — but you can add, rename, or remove products to match exactly what your operation uses.
Products are organized by record type, so when you're logging a vaccination you only see vaccine products, not dewormer names cluttering up the list.
Attach Documents to Any Record
Got a lab report from the Coggins test? A vaccination certificate for a show? An invoice from the vet visit? Attach it directly to the health record it belongs to. Upload new documents or link ones already in the system.
When someone asks for proof of vaccination or a copy of the Coggins, you don't have to dig through a filing cabinet. It's right there on the record.
Your Vet and Dentist Can Use It Too
This is where the Health Program gets really powerful. Veterinarians and dentists who are set up as service providers on your account can log in and manage records in their area of expertise.
Your vet can view all health records, add new vaccination and veterinary records, and upload documents like lab results and discharge summaries — directly into the horse's file. Your dentist can do the same for dental records. They see what they need to see, contribute their part, and the record is updated in real time without you being the middleman.
No more waiting for the vet to email notes that you then have to type into a spreadsheet. They put it in the system themselves.
Export When You Need It
Need to print vaccination records for a show? Want a PDF of a horse's complete health history for an insurance claim or a sale? Export any horse's records as a CSV or PDF with a couple of clicks. Everything comes out clean and organized by record type and date.
Owners Can See It Too
If you use the client portal, owners can view their horse's health records — vaccinations, deworming, dental, and vet visits — along with any notes and attached documents you've made visible. They can see when the next vaccine is due or check what the vet found on the last wellness exam, all without calling you.
Why It Matters
A complete health record isn't just good practice — it's essential. You need it for show compliance, insurance, sales, new vet consultations, and your own peace of mind. The Health Program makes sure that every vaccination, every deworming, every dental visit, and every vet call is recorded, dated, and easy to find.
Here's what changes when you start using it:
Nothing gets lost. Every health event is logged with dates, products, staff, and documents — permanently.
You know what's coming. Next due dates and the matrix view make it easy to plan ahead and catch overdue horses.
Batch entry saves real time. Log records for a whole group of horses at once instead of one by one.
Your vet and dentist contribute directly. They add their own records and documents without you in the middle.
Owners stay informed. Client portal access means fewer calls and more confidence in your care.
Records are always export-ready. CSV and PDF exports for shows, insurance, and sales — whenever you need them.
